PandaDoc: Streamlining Document Signing
When you’re a real estate broker—cliché alert—time really is money. So, if there are tools or software you can employ to help you get your thoughtless tasks done quicker and move individuals on and off property sooner, then you should try it.
The emergence of SaaS software has helped streamline our document signing process. PandaDoc, in particular, has become a mainstay for us, and we use it in all our training courses. It allows brokers, loan companies, and clients to sign documents electronically, so gone are the days of having to tote paperwork around and wait for all parties to sign it before moving to the next step.
Signing physical paperwork can be more error-prone than one might think, especially since it’s such an important document; you would think homeowners would be more careful. On PandaDoc, it shows the user where to read and where to sign, and flags any unsigned portion before they can move on to the next page. We don’t have to return to clients or loan processors if they miss a signature, which is extremely time-intensive, because e-sign does it for us.
Using this software, in turn, helps boost a real estate business’s reputation. If clients have quick, efficient, and trouble-free experiences with brokers, they will often give the company a five-star review online and refer your business to others looking to buy or sell property.

PropTech CRM: Organizing Client Data
One standout tech tool transforming my real estate workflow is PropTech’s CRM software. It organizes client data and automates tasks, which enhances communication.
This tool’s efficiency has been a game-changer, streamlining client interactions and ensuring timely follow-ups. It simplifies property tracking, improves client service, and reduces the manual workload. This is a more organized approach to real estate tasks, ultimately enhancing my overall effectiveness in the industry.

Go High Level: Automated Client Follow-Ups
In streamlining real estate tasks such as follow-up, I’ve been a big advocate of using the software called Go High Level. Rather than manually following up with every individual client or having to set a ton of notification reminders to follow up, I’ve been able to use Go High Level to keep my text follow-ups consistent.
I’ve been able to create a nurturing campaign for the Realtors I reach out to for pocket listings. This piece of software has proved to be incredibly effective in minimizing the amount of time spent on grunt work, and instead, I’ve been able to scale up the number of inputs—in this case, the number of agents I reach out to and follow up with consistently.

Canva: Effortless Real Estate Marketing
It would have to be Canva! We use it for social media posts and for designing graphics such as window displays and “For Sale” boards. We have templates for announcing new listings and sold properties, among other things.
Canva templates save us a lot of time. But it’s not just about the time saved—we are more inclined to update our customers and followers more regularly on social media because it is so easy to do. Ultimately, Canva gives us time back, allowing us to spend more time on better, personalized customer service—and that is what is most important to us.

Matterport: Immersive 3D Property Tours
Matterport is a must-have tech tool in my real estate toolbox. This 3D virtual tour software has improved how I present properties to prospective buyers. Matterport allows clients to experience a property as if they were physically present by creating immersive and interactive virtual walkthroughs.
This tool improves the viewing experience while also saving time by attracting more serious inquiries. It’s a game-changer in the industry, giving my listings a technological edge. Matterport has increased my effectiveness significantly by encouraging engagement and providing a more comprehensive understanding of a property, ultimately streamlining the sales process and exceeding client expectations.

Dotloop: Simplifying Transaction Management
One tool stands out as my favorite for streamlining real estate tasks: Dotloop. Dotloop is a cloud-based transaction management system that allows agents to streamline all aspects of a real estate transaction. It offers features such as document storage, e-signatures, task management, and collaboration tools.
Before using Dotloop, I used to spend hours printing, scanning, and organizing paperwork for each transaction. With Dotloop, all documents can be stored digitally and accessed from anywhere at any time. This has saved me a significant amount of time and eliminated the need for physical storage space.
Dotloop’s e-signature feature has been a game-changer in terms of efficiency and effectiveness in serving clients. It allows clients to sign documents digitally, saving them the hassle of printing, signing, and scanning physical documents. This has greatly improved the speed and accuracy of document processing, leading to happier clients.
Aside from its efficiency and effectiveness in managing transactions, Dotloop also offers benefits such as improved communication and collaboration with clients and other agents involved in the transaction. Task management tools help me stay organized and on top of deadlines. Integration with other tech tools and software, such as CRM systems, provides a seamless workflow.

VR Tech: Engaging Virtual Property Showings
My recent favorite in real estate tech is leveraging wearable technology for virtual property showings. Devices like VR headsets allow me to conduct immersive property tours from anywhere. Clients can virtually walk through a property, getting a realistic feel of the space without physical travel.
This tech is particularly useful for clients relocating from different cities or countries. It not only saves time and resources but also offers a unique, engaging experience. This innovation has significantly improved my ability to serve a broader client base, enhancing my effectiveness in a market that increasingly values convenience and innovation.

Smart Home Demos: Integrating a Unique Selling Point
My favorite tech advancement in real estate has been the integration of smart-home demonstration tools. These tools allow me to showcase how a property can be transformed with smart technology, from automated lighting and heating systems to advanced security features.
By giving clients a virtual demonstration of these enhancements, I can help them visualize the potential of a home beyond its current state. This approach has not only added a unique selling point to my listings but also catered to the growing interest in smart-home technology among buyers, thereby enhancing my effectiveness in meeting the evolving demands of my clients.

Trello: Project Management for Real Estate
As a real estate agent, it’s overwhelming to keep track of all the tasks and responsibilities involved in serving clients. My favorite tech tool for streamlining real estate tasks is Trello. This project management software allows me to organize my tasks and collaborate with my team seamlessly.
I can create different boards for each client or property, add checklists and due dates for tasks, and even assign tasks to specific team members. Trello has significantly improved my efficiency in managing multiple clients and properties, making it easier for me to provide a high level of service to my clients.

UpperKey: Automating Property Management
One of my favorite tech tools for streamlining real estate tasks is a comprehensive property management software that we’ve integrated into our operations at UpperKey.
This software has been a game-changer for us in managing our property portfolio efficiently. It enables us to automate routine tasks like rent collection, maintenance requests, and lease renewals, freeing up our team’s time to focus on more strategic aspects of property management and client service.
For example, we’ve significantly improved our response time to maintenance requests from tenants. When a maintenance issue arises, our system automatically generates work orders and assigns them to the appropriate contractors. Additionally, the software’s reporting and analytics capabilities have allowed us to provide our clients with real-time insights into their property performance, helping them make informed decisions to optimize their real estate investments.
